# Provider Acquisition: A Smart 5-Stage Physician Funnel

Provider acquisition is how a product company turns a curious doctor into a customer who orders again. Most companies run it as a pitch. The doctors who buy treat it as research. This guide lays out a five-stage funnel that meets them there, plus the claim line that keeps each stage safe.

**TLDR:** Provider acquisition works when the doctor can study the product alone, before anyone asks for a meeting. Training, use cases, peer talk and sourced comparisons move a doctor to a first order. A pitch does not. Every stage has a claim line, because what a rep says to a clinic ends up in front of patients. Read on for the five stages, what belongs in the first box, and one doctor courted by two companies.

**Important Note**

This article is for educational purposes only and does not constitute legal, medical, or regulatory advice. Marketing strategies discussed should be reviewed by qualified legal counsel before implementation, particularly regarding FDA, FTC, and state-specific advertising regulations. Regen Portal is a marketing and consulting company, not a law firm.

What moves a doctor from curious to a first order? Mostly training, use cases, discussion, and research that compares one method with another. Rarely the pitch.

Most product companies still lead with the pitch. They reach clinics by cold email, cold calls and walk-ins. Most emails go unread. Most calls do too. Even walk-ins convert poorly.

Regen Portal has worked with dozens of manufacturers and distributors on consulting and marketing. We do not sell product for anyone, and we do not carry any. Here is the funnel we build when a company asks why doctors are not calling back.

## Why Provider Acquisition Fails at the Pitch

Provider acquisition fails when the company asks for a meeting before the doctor has anything to read. A doctor weighing a new biologic wants a lot of research. They want to do it on their own time, without feeling pushed. A pitch takes that time and gives nothing back.

A doctor is trained to doubt. When the deck says the product is the best and cites nothing, the doctor stops reading. When the deck compares two methods with sources, the doctor keeps going.

This is also a business-to-business-to-consumer sale. The company sells to the clinic. The clinic sells the procedure to a patient. Every word the rep says can travel down that chain. We have watched rep language move from the pitch into the clinic’s own ads, sometimes in plainly non-compliant form. So the funnel needs a claim line at every stage, not a legal review at the end.

The next section draws that line before we build the stages.

## The Claim Line That Runs Through the Whole Funnel

The claim line is simple to state. Say only what you can back with evidence. Say it the same way in every channel. Hand the clinic the same words. The FTC expects [competent and reliable scientific evidence](https://www.ftc.gov/business-guidance/resources/health-products-compliance-guidance) behind a health claim. It also holds a marketer to what an ad implies, not only what it states. The same guidance lists distributors among the parties who can be liable for deceptive marketing. Counsel decides how it applies to a product sold to doctors.

For cell and tissue products, the product’s status sets the ceiling on every claim. A company cannot tell a doctor more than the status allows, because the doctor will repeat it to patients. If the product is not approved for a use, nothing in the funnel may read as if it were.

One more rule sits on the money side. Under [CMS Open Payments](https://www.cms.gov/priorities/key-initiatives/open-payments), makers of covered drugs, devices, biologicals and medical supplies report certain payments to doctors and other covered recipients. CMS publishes the data each year. Whether your product is covered depends on the product, and counsel confirms it. So a training day, a meal, or a consulting fee may land on a public record. Plan as if it will, and ask counsel where your product sits.

With the line drawn, here are the five stages.

## The 5-Stage Provider Acquisition Funnel

The provider acquisition funnel has five stages. Each one gives the doctor something to read, use, or discuss before anyone asks for an order. The table shows what the doctor gets at each stage and where the claim line sits.

Stage What the doctor gets Claim line

1. Awareness Education they can read alone Describe, never promise

2. Training Handling, use cases, staff answers Fit, not outcome

3. Discussion Sourced comparison of methods Cite it or cut it

4. First order Papers and a claim sheet in the box Same words for rep and clinic

5. Expansion Tools to bring in a peer Disclose any paid role

Each stage below says what to build and where the line sits.

### Stage 1: Awareness Through Education the Doctor Can Read Alone

Stage one is education the doctor can read with no rep in the room. Not a brochure. A plain page on the science, the product’s status, the handling, and the questions a buyer asks first. Put it on your own site, where search can find it. Then post pieces of it where doctors already read.

That means LinkedIn and video more than email. Our [LinkedIn feed playbook](https://regenportal.com/linkedin-for-regen-med-clinics-2026-algorithm-play/) shows what the feed rewards this year, and the same rules apply to a product company’s page. The formats in our guide to [YouTube formats for clinics](https://regenportal.com/regen-clinics-are-using-youtube-for-new-patients/) work for a maker too. A handling walkthrough. A status explainer. A buyer question answered on camera.

The claim line here is to describe and never promise. State the status, what the product is, how it is sourced and handled, and the papers that ship with it, all reviewed by counsel. No mechanism claims, no cell counts, and no white papers. No outcome language. Nothing on this page should read like a line a clinic could paste into an ad.

When the doctor has read enough to be curious, stage two gives that curiosity somewhere to go.

### Stage 2: Training and Use Cases

Training is the strongest move in the funnel, because it is what doctors say moves them. Offer a short session on handling, storage, prep, and charting. Include how the front desk explains the product to a patient who asks. Then show use cases by specialty: how the product fits a protocol, who it is for, and what the papers look like. Keep each one within the listed use, reviewed by counsel.

Most practices that add a regenerative service line were never trained to do it right. The ones that were trained still do not know how to market it, how to teach staff to answer questions, or how to sell it. A company that fills that gap is doing the clinic’s job before the first order. That is hard to ignore.

The format matters less than the habit. A live webinar works. Our guide to [webinar funnel steps](https://regenportal.com/virtual-seminars-for-regen-med-clinics-webinar/) covers the invite, the run of show, and the follow-up. The claim line here is fit, not outcome. A use case is not a testimonial. It shows where the product belongs in a protocol, not what happened to a patient.

Training earns the right to a real conversation, which is stage three.

### Stage 3: Discussion and Comparative Research

Stage three is where the doctor asks hard questions and the company answers with sources. This method versus that one. This prep versus another. The doctor wants a sober comparison, not a sales sheet with a checkmark column.

Build the comparison the way a reviewer would. Name the studies. State what each one measured and where it stops. Say what is not known. A comparison that admits a limit earns more trust than one that wins every row.

The claim line tightens here. A comparison is still a claim, and the FTC guidance linked above judges the net impression of the whole piece, charts included. Let counsel read it before it leaves the building. Never let a rep improvise one on a call.

When the questions turn to ordering, the doctor is ready for stage four.

### Stage 4: The First Order, With the Papers in the Box

The first order ships with everything the clinic needs to use, sell and explain the product. When a clinic shows us what a supplier gave them, the certificate of analysis is often missing. So is the establishment registration. Listing and chain of custody are sometimes missing too.

Just as often the gap is not a paper at all. There is nothing on how to market the product, how to give it, or how to tell patients the practice offers it.

So the box holds two folders. The first is the paperwork: certificate of analysis, establishment registration, listing, chain of custody, storage and handling. The second is the claim sheet. One page that lists what the company says about the product, what it does not say, and why. The clinic’s marketing team copies from that sheet, not from the rep’s memory. That is the claim line made physical.

A clinic that opens that box can put the product to work, and that is what turns one order into stage five.

### Stage 5: Expansion Through the Doctor’s Own Network

A doctor who trusts a product tells a peer. That is how provider acquisition can grow without more cold outreach. Stage five is the company making that peer talk easy to have.

Give the doctor something to hand over: the same page, the same training invite, the same claim sheet. Ask the doctor to co-host the next training. A peer explaining a protocol carries more weight than any rep. The habits that build a [clinic referral network](https://regenportal.com/how-to-build-a-regen-physician-referral-network/) work the same way for a product company.

Two claim lines apply here. First, a payment to the doctor for that role may be reportable under Open Payments, depending on the product. Counsel checks before the invite goes out. Second, a doctor who is paid or hosted to speak for the product is an endorser. The paid connection has to be disclosed where the audience can see it. Keep the relationship on paper.

That is the funnel. The next section covers the ways companies break it.

## Common Provider Acquisition Mistakes

The most common provider acquisition mistake is running the stages out of order. The company opens with a price and a sample, then wonders why the doctor never calls back. A lower price is not education.

The second mistake is buying a contact list and calling it a funnel. A list gets you into the inbox. It does not get you read. Our [clinic outreach plan](https://regenportal.com/clinic-outreach-product-companies/) covers the email and phone rules for that first touch.

The third mistake is letting the rep own the claims. Reps routinely say things to clinic owners that are not compliant, and that language travels. If the claim sheet does not exist, the rep writes one out loud on every call, and no two versions match.

The fourth mistake is treating training as a cost. Training is the front of the funnel, not an expense after the sale. Cut it to protect margin and you cut the one thing doctors say moves them. A [consulting engagement for manufacturers](https://regenportal.com/consulting/) usually starts by putting training back at the top.

The last mistake is ignoring Open Payments until a meal is on the record. Ask counsel early if the product is covered. Then build the funnel around the answer.

Here is what those mistakes look like when two companies chase the same doctor.

## Two Companies, One Doctor: A Scenario

Picture a pain doctor in a mid-sized city who wants to add a new biologic. Two product companies reach her in the same month. Neither knows the other is there.

The first company leads with a price cut. The rep emails the price sheet, calls twice, and drops samples at the front desk. The deck says the product is the best on the market and cites nothing. She has no page to read, no training to attend, and no comparison to weigh. The samples sit in the fridge.

The second company leads with a training day. The invite links to a plain page on the product’s status and handling. The training covers storage, charting, and how her front desk answers a patient’s question. Then the rep sends a comparison of two prep methods, with the studies named and the limits stated. When she asks about ordering, the rep lists what ships in the box: the papers and a one-page claim sheet.

This story states no sale and no timeline, because a funnel promises neither. The point is what each company gave her to read. One asked for her time. The other filled it.

## Frequently Asked Questions

### What Is Provider Acquisition for a Regen Product Company?

Provider acquisition is how a maker or distributor moves a doctor from first look to first order, then to repeat orders. In regen medicine it runs on education, training, and sourced comparison. The buyer is trained to doubt. It is a research process the company supports, not a sales pitch the company pushes.

### Why Does Cold Outreach Fail With Doctors?

Cold outreach fails because it asks for a meeting before the doctor has anything to study. Most product companies reach clinics by cold email, cold calls and walk-ins, and most get ignored. The doctors who buy want a lot of research, on their own time. Hand them the research first.

### What Belongs in the Box With a First Order?

Two folders. The first holds the papers: certificate of analysis, establishment registration, listing, chain of custody, storage and handling. The second holds the claim sheet. It is one page on what the company says about the product, what it does not say, and why. Clinics show us boxes where the papers are missing, and the marketing help is missing just as often.

### Can a Company Pay a Doctor to Speak About Its Product?

It can, with three checks counsel has to make. First, the doctor becomes an endorser. The paid link must be disclosed wherever the endorsement appears. Second, the payment may be reportable under CMS Open Payments if the product is a covered drug, device, biological or medical supply. That depends on the product, so the answer belongs to your counsel. Third, a payment, a meal, or free training for a doctor who orders the product can raise the federal Anti-Kickback Statute when a federal program pays for it. State kickback laws can reach cash-pay practices too. Counsel sets the terms in writing, at fair market value, and never tied to orders.

### Does Regen Portal Sell Products to Clinics?

No. Regen Portal is a marketing and consulting company for the regen industry. We do not carry any product, and we do not sell any product for anyone. We have worked with dozens of manufacturers and distributors on consulting and marketing. We help them build the funnel. The rep still makes the sale.

## Key Takeaways

- Provider acquisition runs on training, use cases, discussion and sourced comparison, not on the pitch.
- Cold email, cold calls and walk-ins get ignored because they ask for time before the doctor has anything to read.
- Every stage carries a claim line, because what a rep says to a clinic can end up in front of patients.
- The FTC expects competent and reliable scientific evidence behind a health claim, and it judges what an ad implies.
- The first order ships with the papers and a one-page claim sheet, because both are often missing.
- Payments to doctors may be reportable under Open Payments, depending on the product, so counsel checks first.
- Growth can come from the doctor’s own network when the company makes peer talk easy and keeps every paid role on paper.

## Your Next Step

If your provider acquisition funnel starts with a price sheet, the fix is not a better price sheet. It is a page to read, a training day, a sourced comparison, and a box with the right papers. Regen Portal builds those pieces with makers and distributors, and we check the claim line at every stage.

Send us the deck, the product page, or the first-order folder. We will tell you where the doctor stops reading and where the claim line is thin.

PS: Send your deck or product page to hello@regenportal.com for a free review, and we will note which of the five stages it skips.
