It needs a signed business associate agreement, or BAA, before it touches anything. Most free AI tools will not sign one. The rules then cover how that data is stored and who can reach it. Do we have to replace the software we already use?
Usually not. Most businesses own more power in the systems they already pay for than they use. Switching platforms is the slowest way to fix a process problem, and it throws everyone off. So we work with what you have. We only swap a tool when it’s truly the thing blocking you, and we’ll tell you why first.
Is any of this HIPAA compliant?
No honest consultant will hand you a yes. Compliance comes from your whole setup, not a badge on one tool. What we do is decide which systems may touch patient information. We insist on a signed BAA wherever one is needed, and we write those decisions down. We are not a law firm, so your own legal counsel signs off before anything goes live. Will this replace our front desk?
No. The goal is to take the repeat work off your front desk or sales team, like first replies, reminders and busywork. Then their time goes to the conversations that close. AI is good at tasks, but trust still comes from a person. So the tool takes the tasks, and your people get more time for the part only they can do.

How do you actually train the team?
We run live working sessions with the people who will use it, on your own cases instead of stock examples. Everyone leaves with a written prompt library for your services. They also get a one-page list of what may never be typed into a tool. It’s built for people who have never written a prompt and don’t want to get technical. If a workflow needs a tech person to keep it running, we built it wrong.
We already tried AI and it did not work. Why would this be different?
Usually it’s one of two things. Someone bought a tool before anyone mapped the process, so it just ran a broken step faster. Or nobody was taught to use it, so people stopped opening it after a few weeks.
The second one is more common. That’s a training problem, not a software problem. AI gives you a good starting point, but only when people know how to use it. That’s why we teach first and build second.

Yes, and it matters more than most businesses realize. Google’s spam policies name pages made in bulk to rank instead of to help people, whether a person or AI wrote them. AI can give you a solid first draft. It doesn’t know your claim limits or the science behind what you offer, so someone who does has to finish it. How do we know it is working, and how often do we hear from you?
Every month, you get an email with a short video that walks you through it. For ops, it shows where the path from inquiry to booking still leaks. It also shows what changed that month and what that change did. A person checks anything that runs on its own on a set schedule, and what they find goes in the report too.
What if something goes wrong with patient data?
There’s a written breach notification process, and it covers us and anyone working under us. That’s the set of steps for telling the right people when patient data gets out. Nobody makes it up on the spot.
The business associate agreement spells out what each side must do, and the process sets the order of steps. Your own legal counsel gets the same file we do. Ask any agency you talk to if they have both. They should, but do they?
